This position is the first voice of the City of College Station, responsible for greeting visitors, hosting City Council meetings and providing excellent service to the citizens and visitors of the City.  In addition, under the supervision of the City Secretary, the Secretary is responsible for performing clerical support functions while applying departmental procedures, policies, and processes in an administrative support or customer service role which may require the exercise of initiative, sound judgment and discretion.


 Principal Duties:
  1. Manage the City's main phone line to include answering incoming phone calls, providing information or directing call to the appropriate department and/or individual.
  2. Greet customers for the City Secretary and City Manager departments and respond to various inquiries regarding departmental operations, services, policies and procedures, city and state laws, and other pertinent information.
  3. Provide administrative support to the department, to include but not limited to, preparing correspondence, processing and distributing mail, ordering and maintaining office supplies for the department and Council, and monitoring and maintaining office equipment and office equipment supplies.
  4. Responsible for coordinating Council meeting meals to include ordering and setup/cleanup activities.
  5. Receive and process open records requests; maintain related database.
  6. Serve as primary back-up for the Deputy Local Registrar, which includes processing birth and death certificates, and issuing Burial Transit permits.
  7. Serve as primary back-up for the Executive Assistant to the City Manager, which includes answering phones and making travel arrangements for the City Council.
  8. Perform other related duties as assigned.



High School Diploma or G.E.D., and one (1) year customer service, clerical or administrative support experience; or, an equivalent combination of education and experience.  Possess basic level computer skills in the use of PC-based spreadsheet and word processing applications, preferably Microsoft Excel and Word.  Good oral and written communication skills, including the ability to compose and prepare routine correspondence and documents.  Ability to acquire general knowledge of City policies, procedures, and activities.  Ability to deal effectively and courteously with subordinates, superiors, and the general public.
