In this critical, high-level position supporting the Board of County Commissioners, you'll handle sensitive and confidential information. The position provides direct executive-level administrative support to multiple commissioners; is responsible for a variety of critical tasks to ensure compliance with state and local regulations; as well as advanced customer service and problem-solving through daily interactions with constituents via phone and in person. This is a key role and is demanding position that does not allow for much time away from the Commission Services area.

 

Job Description:

  • Provide direct, executive-level administrative support to multiple county commissioners, (complex calendaring/scheduling; correspondence and talking points; travel coordination and expense reporting, etc).
  • Respond to citizen concerns via phone, email, and in person, frequently involving sensitive and/or controversial issues. Exercise tact, diplomacy, and problem-solving skills to develop an appropriate course of action. Coordinate and communicate with Commissioners, Administration, County Attorney, department staff, and outside agencies to resolve concerns in a timely manner.
  • Process incoming County Commissioners mail following established procedures for tracking, retention, and storage, and assist with fulfilment of Public Records Requests.
  • Assist with Board Meeting logistics, including preparation of facilities, refreshments, etc. Observe maintenance issues and prepare work orders to ensure upkeep of shared County facilities such as conference rooms.
  • Assist and serve as backup to Agenda Coordinator, scheduling and processing materials for Board meeting agendas.
  • Use a County-issued purchasing card, in accordance with established purchasing policies, for registrations, office supplies, refreshments, etc. May process invoices and prepare/oversee departmental purchase requisitions/purchase orders.
  • May coordinate ceremonial recognitions, including writing/editing, scheduling, and printing/presentation, and maintain related records in accordance with retention requirements.

 

 

About You

Minimum Qualifications:  

  • Associate's Degree in Business Administration or related field with four (4) years job-related experience in an office/administrative environment with executive-level exposure.
  • - OR - Bachelor's Degree in job-related field with two (2) years job-related experience with executive-level exposure.
  • - OR - Equivalent combination (6 years) of education and experience may be considered at management discretion.

 

Preferred Qualifications:

  • Advanced Professional Certification.

 

 

Job Competencies:  

  • MS Office; database software; financial software; agenda management software
  • Discretion, good judgement, problem-solving skills, aptitude, and willingness to learn
  • Good working knowledge of County infrastructure

 Pay: $42,868.80 - $48,000.00
