FULL SALARY RANGE:   $17.88 - $25.93 Hourly

The purpose of this position is to ensure the proper processing of payments and receipts.   This is accomplished by administering accounts payable, processing weekly check runs, researching vendor statements, reviewing and posting cash receipt batches, preparing revenue reconciliations between the financial software and departmental software systems, and processing and reconciling accounts receivable.  Other duties may include interfacing with other City employees, citizens, and vendors and other duties as assigned. This position does not provide direction to other employees.

 

Essential Functions

This information is intended to be descriptive of the key responsibilities of the position. The following examples do not identify all duties performed by any single incumbent.

  • Performs supportive technical accounting work involving the maintenance and processing of accounts payable.  Reviews and audits source documents for invoices, requisitions, purchase orders and other documents, processes recurring invoices, confirming accuracy and compliance with policies and procedures, and obtaining required approval signatures.  Prepares and reviews expenditure approval listing and processes accounts payable checks.
     
  •  Reviews vendor statements and discrepancies between purchase orders and invoices, working with city departments and vendors to resolve billing and address differences.   
     
  • Processes cash receipts batches by reviewing departmental batches for accuracy of accounts, and works to resolve discrepancies with other departments.
     
  • Prepares monthly bad debt expense and reconciliation reports. Works with collection agency on bad debt and collections processes.
     
  • Processes accounts receivable by receiving check and cash payments, working with the general billing system, preparing deposit slips, reviewing and auditing documents, generating reports, verifying account numbers, maintaining files, and reconciling accounts.
     
  • Prepares revenue reconciliations on a monthly basis to monitor the recording of financial transactions between the City’s financial software system, and recreation center reporting systems.
     
  • Provides departmental and customer service support by answering and directing telephone calls, preparing correspondence, communicating with external and internal customers, resolving issues and complaints, gathering data from businesses, and disseminating to user departments.

 

Job Requirements

Education & Experience 
Work requires broad knowledge in a general professional or technical field. A typical way to obtain the required qualifications would be:

  • Associate's degree plus two (2) years of relevant work experience; OR
  • High School diploma or equivalent plus six (6) years of relevant work experience

Other combinations of education and experience may be considered.

 

Certification and Other Requirements

  • Valid Texas Class C Drivers License

 

Overall Physical Strength Demands

  • Exerting up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time.
