Be a member of the team that helps support and assist Sarasota County's Fire and EMS Department! This position is a vital and forward-facing role that processes subpoenas and customer requests regarding Emergency Medical Services Patient Care Reports (PCR’s) and other public record requests with a high degree of accuracy, ensuring processing meets all compliance standards. Customer service includes receiving phone calls and greeting walk-ins for Fire Administration, along with managing complaint tracking.

 

Job Description:

  • Process subpoenas and customer requests for PCRs in accordance with Emergency Services subpoena policy, Florida Statutes, and Health Insurance Portability and Accountability Act (HIPAA). 

  • Serve as Public Records Custodian for PCRs which include the retention, preservation and disposal of same.  Coordinate the transfer of patient billing documents and checks to billing service as appropriate. 

  • Maintain accurate and up to date PCR Request/Subpoena Status spreadsheet and files of PCR Request/Subpoenas.

  • Serve as Fire Administration’s Public Records Request Custodian.  Coordinate with the County Public Records Request Custodian the collection and delivery of requests in accordance with state and federal laws. 

  • Maintain accurate and up to date request status spreadsheet, file of requests and resolutions.

  • Perform general clerical duties as assigned by the Administrative Support Supervisor, Fire Chief, and Deputy Fire Chiefs, which includes greeting and directing guests, word processing, spreadsheets, filing, copying and faxing documents, collecting and distribution of mail and other duties as assigned.

  • Compose, prepare and distribute correspondence. Perform basic statistical calculations on data for reports and presentations. 

  • Take complaint phone calls for Fire Administration from the public and assure they are handled quickly and efficiently. Maintain accurate and up to date Complaint Management tracking spreadsheet including lost item resolution, transferring calls/taking messages for the appropriate party for resolution, and final resolution documentation.

  • Assist citizens with the processing of property insurance rating requests.

  • Create and update Emergency Services frequently asked questions (FAQ’s) for the Contact Center Knowledge Base (CCKB), maintain Emergency Services County Ordinance book, and internal phone directory.

  • Maintain and distribute Fire Department citation bars. Assist with Emergency Services Awards Ceremony.

 

 

Work Hours:  Monday – Friday, 8:00 a.m. – 5:00 p.m.

 

 

About You

Minimum Qualifications:  

  • High School Diploma or GED

  • 2-5 years of clerical, administrative, and computer experience

  • NOTE: One year of college may substitute for one year of experience

 

Preferred Qualifications:

  • Experience working within the county or private sectors of the legal community

  • College coursework in Business from an accredited College or University

  • Related professional certification
