Scope of Work:

Assists defendants requesting to make payments of assessed fines.  Creates and updates payment accounts in a Municipal Court Records Management System.

 

 Essential Job Duties:
  • Responsible for understanding State Law and how it applies to Municipal Court jurisdiction.
  • Monitors and maintains case files to ensure compliance with Office of Court Administration Collection Improvement Program.
  • Answers citizen inquiries, either on the phone or in person, regarding payment options and the current status of their payment account.
  • Requests financial information from defendants to determine the amount and frequency of their payments.
  • Processes and explains required financial forms to defendants requesting payments.
  • Verifies employment information for defendants requesting payments.
  • Verifies address and email information for defendants requesting payments.
  • Updates defendant information in the Municipal Court Records Management System.
  • Creates and updates payment accounts in a Municipal Court Records Management System.
  • Processes and explains required payment agreement forms to defendants requesting payments.
  • Inquires or enters data using the Municipal Court Records Management System.
  • Processes cases for defendants who fail to remit payment for their fines as agreed and assesses required late fees.
  • Reviews request for additional time for payment on referenced cases and takes appropriate action per Court Policy.
  • Reviews delinquent payment accounts for warrant processing.
  • Calculates the amount of applicable jail credit and balance due for defendants released from custody and maintain record of jail releases.
  • Notifies defendants of delinquent payment accounts in compliance with the Office of Court Administration Collection Program.
  • Researches and processes duplicate name records and updates alias name records.
  • Assists in verification of cash bond monies received.
  • Responsible for maintaining and organizing case files for payment accounts.
  • Prepares weekly activity reports on division.
  • Responsible for divisional correspondence, various documents, manuals and reports.
  • Attends training specific to legislative changes affecting municipal courts or records management software upgrades.
  • Maintains divisional notebook of instructions for each duty performed with the division.
  • Works 8:00 a.m. to 5:00 p.m. Monday, Tuesday, Wednesday with alternating Thursdays 8:00 a.m. to 7:00 p.m. and alternating Fridays 8:00 a.m. to 2:00 p.m.
  • Performs other duties as assigned by the Presiding Judge, Court Administrator or Court Coordinator.

 

 Physical and Environmental Conditions:

Ability to move about an office or building.  Ability to sit, stand, and kneel.  Ability to lift and move storage boxes.

 

 Required Qualifications:

Ability to effectively communicate with the Presiding Judge, Associate Judges, Court Administrator, Court Coordinator and other Municipal Court staff regarding a defendant's payment account or their request for payments.  Ability to effectively communicate well with the general public to answer questions, take complaints and direct persons to the appropriate staff member.  Exceptional skill required handling citizens in delicate situations with tact and diplomacy both on the phone and in person.
Knowledge of Municipal Court activities and functions preferred.  Ability to read and understand manuals in order to record work activities, keep records and work with computers.  Must have strong attention to detail, organizational, and communication skills.  Proficiency with office equipment including ten-key, personal computer, telephone system, facsimile and copy machine.  Experience in typing, data entry and word processing.  Experience with Microsoft Word and Excel.
 
High school diploma or equivalent plus three to five years' experience working in a related field required.
