Description

Under general direction of the Town Secretary/PIO, assists with all official functions of the Town Secretary's Office and performs such in the absence of the Town Secretary.  The position performs specialized clerical and administrative functions which includes preparing agenda items and materials for Town Council, Board, and Commission meetings, the maintenance of official Town records, assisting in administration of elections, and other related work as directed by the Town Secretary.

  • Assists with official functions of the Town Secretary and performs such in the absence of the Town Secretary, including attending Town Council meetings as needed, and preparing minutes in the absence of the Town Secretary.
  • Prepares and posts agendas for Town Council, Board, and Commission meetings in the absence of the Town Secretary.
  • Assists with compiling, organizing, and distributing information and materials for Town Council and other administrative meetings. Confirms attendance at Council meetings by individuals presenting, receiving awards, or proclamations.
  • Prepares Council Chambers for Council meetings, including ordering or purchasing food and beverages and preparing PowerPoint presentations.
  • Ensures distribution of Town Council resolutions, ordinances, and minutes acted upon by the Town Council. Scans and uploads ordinances, resolutions, minutes, contracts, easements, deeds, and other documents to Laserfiche.
  • Ensures required legal notices are published in the Town's official newspaper.
  • Assists with Boards and Commissions program to include; assisting with annual Boards and Commissions application process, maintaining the member rosters, and maintaining monthly attendance reports for Boards and Commissions.
  • Maintains the Town Secretary, Board and Commission, and Elections web pages.
  • Responds to Public Information/Open Records Requests in accordance with the Texas Public Information Act. 
  • Oversees the processing of alcohol permits by confirming applications are in conformance with Town ordinances and TABC guidelines; issuing renewal notices, receiving payments and issuing permits.
  • Assists with the coordination of municipal elections.
  • Responds to inquiries from the public and Town staff.
  • Conducts research activities and other projects as assigned.

 
Other Important Duties:

  • May travel to attend meetings, conferences and training.
  • May be required to work some evenings or weekends.
  • Regular and consistent attendance for the assigned work hours is essential.

 

Education, Experience, and Certifications:

  • Associate's degree and five (5) years of experience as an administrative professional, progressively responsible for municipal government or administrative experience, or equivalent combination of education and experience. 
  • Must be enrolled in TMCCP certification course within one year of employment, and expected course completion within three years after enrollment. Preference may be given to individuals who possess the TMCCP certification.
  • Will be required to obtain a commission as a Notary Public in the State of Texas.
  • Preference may be given to individuals with knowledge of Texas Elections Laws, Texas Open Government Act and Texas Public Information Act.
  • Preference may be given to individuals with knowledge of Laserfiche software.
  • Must pass a pre-employment drug screen, criminal background check, and MVR check.
  • Must possess valid State of Texas Class C Driver's License.
