Legal Secretary

Summary: Responsible for performing certain legal secretarial duties within the Criminal Section of the City Attorney's Office.

Essential duties and responsibilities may include, but are not limited to, the following:

  • Types and checks for accuracy in correspondence, contracts, ordinances, pleadings and other legal documents.
  • Prepares legal letters, reports, memos and other related legal documents and forms.
  • Prepares certain legal documents for the Police Department.
  • Reviews Public Information Act requests and assists in preparation of responses.
  • Manages Summons Dockets, prepares Code Enforcement and assault cases for trial.
  • Serves as liaison with Code Enforcement Office, meets with code enforcement violators, and assists attorney in communicating with assault victims and defendants.
  • Collects and organizes data, and indexes and maintains certain operational files and records.
  • Performs legal secretarial duties in the Criminal Section of the City Attorney's Office, including maintaining appointment calendars, scheduling meetings and making travel arrangements for attorneys.
  • Provides information to the public concerning complaints, City, and Legal Department procedures.
  • Performs as a Notary Public and a variety of clerical and secretarial duties as required by business necessity.
  • Performs certain legal assistant/paralegal duties.
  • Prepares special legal reports and special civil projects for the City Attorney.
  • Supports the departmental operations with regular and timely attendance.
  • Supports the relationship between the City of Odessa and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information; performs other duties as required or assigned.

Minimum Qualifications:

Education, Training and Experience Guidelines: High school diploma or G.E.D. required. Five years progressively responsible secretarial and office experience.

Knowledge, Skills, and Abilities:

  • Ability to compose routine letters and memoranda.
  • Ability to make decisions in accordance with City and Department policies and regulations.
  • Ability to deal with public relation problems and complaints courteously and tactfully.
  • Possess and maintain necessary qualifications to be a notary public.
  • Ability to use personal computer, software, dictating and phone equipment.
  • Ability to speak Spanish is advantageous but not required.

License and certification requirements: A valid Texas State Driver's License is required.

Skills Test:  Typing test with a minimum score of 60 wpm with 7 or less errors.
