Description | Job Summary Provide clerical support to the Court Administrator and Presiding Judge. Duties include: customer service, cash handling, extensive data entry, and multi-line phones. Must process reports, mail, email, citations, and warrant documents. Produce and proof legal documents and correspondence; calculate fees and send late notices. Follow the rules and regulations of the Texas Transportation Code, Penal Code, and Code of Criminal Procedure. Follow all city policies and other miscellaneous duties. Essential Duties & Responsibilities •Assist the public, co-workers and City officials by phone and in person according to established court procedures, State rules, City policies and act according to the Code of Conduct and ethics rules. •Perform background checks for military officials and Human Resources. •Provide customer service by greeting and assisting customers, and responding to customer inquiries and complaints. •Process citation interface file from iLeads to download case data; proof the report data against the citations received and images downloaded; determine course of action to correct errors by returning the citation to the Temple Police Department records division; refer to the City prosecutor; Judge, Court Administrator or notify the issuing officer and / or his supervisor; attach notes and documentation for review and action by the recipient and take appropriate action with information received. •Post payments for fines and fees received by mail, in person, by phone and e-pay. Maintain payment record, manually pull existing paper files, produce receipts and scan all correspondence in the imaging system; and determine appropriate course of action and apply payments accordingly. Maintain and balance cash drawer daily. Process all returned checks for collection. •Create event monitor reports to process case file notices, extensions, reminders, show-cause hearings, payment plans, and convictions. Check scheduled pre-trial hearing dates to close docket when predetermined number of cases is set. •Process warrant documents; probable cause affidavit; violate promise to appear, complaint, and capias / capias pro fines. Check all systems, remarks and images for verification. •Enter parking citations issued by Parking Enforcement Official (PEO) daily; scan citations into the imaging system; calculate due dates, assess late fees, enter data, research data base for additional violations, and produce and mail past due notices to the registered vehicle owner. •Report past due cases to the collection agency using a FTP process; verify transmitted data with receiving report from agency and contact agency with any discrepancies. Receive collection payments from agency weekly. Post payments accordingly to defendant case(s). Scan all documents received to the imaging system. Transfer data to collection agency on all recalled time served, or paid collection cases. Verify all warrants are deleted from court and PD computer system. •Process data to report delinquent cases to the Department of Public Safety to deny driver license renewal. Process cases added, rejected, placed on hold and closed. Remove case flag in the DPS Omni system when case cleared. •Perform clerical activities such as filing, typing, word processing, photocopying and mailing out material, and mail sorting. •Maintain an office supply inventory list. Create requisitions and stock requisitions; process P-card transactions for admin approval. Make travel arrangements as instructed by admin and assist admin with annual budget preparations. •Accept, receive and collect payments. •Perform other duties as assigned by the Court Administrator or Deputy Court Administrator.
