Service Advisor

Summary: The Service Advisor is the first-line customer relations and service representative for Equipment Services. The Service Advisor will provide the direct point of contact with all city customers and liaison with vendors and citizens in a manner that creates a relationship of trust and customer service. The Service Advisor will prepare, track, and close work orders and ensures timely completion of workorders. The Service Advisor is responsible for scheduling maintenance and repairs. The Service Advisor will coordinate Service Department including Lubrication Center, Body Shop and all shop maintenance and repair workflow.

Essential duties and responsibilities may include, but are not limited to, the following:

Principal Duties/Responsibilities:

  • Greets customers/vendors and receives vehicle work requests and assists preparation of service order request.
  • Enter repair information into computer fleet maintenance system.
  • Assigns Garage Supervisor in assigning work order requests to mechanics.
  • Prioritizes, schedules and tracks repair work.
  • Upon repair completion, reviews and enters mechanic's labor time, closes work order and notifies department of completion in a timely manner.
  • Notifies departments of upcoming scheduled maintenance of vehicles.
  • Responsible for motor pool vehicles. This will include the issuing of , upkeep and maintenance of vehicles.
  • Prepares and submits reports for supervisor review.
  • Maintains confidentiality and integrity of data viewed.
  • Files all completed paperwork and reports in an accurate and timely manner.
  • Works effectively with the public and fellow employees.
  • Maintains productivity and efficiency while performing repetitive data entry.
  • Direct Service and Parts staff as needed to achieve workflow success.
  • Provide data and advice to Garage Supervisor and Parts staff to inform and improve service delivery.
  • Assist in Preventative Maintenance development and delivery.
  • Supports the departmental operations with regular and timely attendance.
  • Supports the relationship between the City of Odessa and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information; performs other duties as required or assigned.

Education: High School diploma or GED Certification required.

Experience: Three (3) years experience is required in work order processing and maintenance scheduling.

Certification: Must possess a valid Texas State Driver's License.

Knowledge, Skills and Abilities: Applicants must have a knowledge in automotive systems. Must have knowledge in repair order/work order process and reporting. Must have the ability to deal effectively with co-workers, supervisors, and the general public. Computer skills using Microsoft Office required. Knowledge of AS-400 preferred. Ability to read, write, understand and follow oral, written and technical instructions.
