SUMMARY:

The Deputy Court Clerk reports to and works under the direct supervision of the Court Administrator. This individual provides excellent customer service and a variety of administrative duties in support of the Municipal Court. The clerk will also assist the Judge and Prosecuting Attorney while in court.

PRIMARY DUTIES AND RESPONSIBILITIES:  Essential duties and responsibilities may include, but are not limited to the following:

Provides customer service by answering phone calls; processing correspondence and requests from defendants; receiving payments; scheduling payment plans; processing deferred disposition cases; and responding to defensive driving inquiries.

Electronically imports traffic citations from the Police Department into the Court computer system.

Completes administrative duties by sorting and distributing mail; processing judicial correspondence; updating court calendars; processing warrant information, bonds, accident and jail information; communicating with outside agencies, and ensuring all records are filed and retained.

Issues warrants for delinquent citations.

Balances and prepares daily court deposits.

Protects confidential and sensitive information.

Sets cases for trial by reviewing information; entering data; notifying potential jurors; informing defendants of court dates; preparing dockets; and processing post trial monies and records

Performs all job duties, tasks, and activities according to work instructions, defined procedures, and policies

Responsible for maintaining all juvenile and minor court records, assists the judge with juvenile dockets, maintains accurate DPS suspension records, maintains all community service records and mandatory classes for drug, alcohol and tobacco defendants.

Notifies defendants, parents and/or guardians, bondsmen, and witnesses, of the trial date and time on juvenile and minor cases.

Keeps work areas clean and orderly

EDUCATION & EXPERIENCE

  • High School diploma or GED required, plus one year of office and clerical experience required
  • One year of Municipal Court experience preferred

SKILLS, KNOWLEDGE & ABILITIES

  • Knowledge of the Texas Rules of Criminal and Traffic Procedures, Municipal Ordinances and other related regulations and codes
  • Working knowledge of basic office processes
  • Excellent communication skills, Spanish speaking skills a plus
  • Must have the ability to pay close attention to detail to ensure accurate work
  • Intermediate writing skills required to write reports, correspondence, and summaries with proper format, punctuation, spelling and grammar
  • Strong math skills and applications including fractions, percentages, ratios/proportions and measurements
  • Computer proficiency with intermediate knowledge of MS Office applications and the ability to accurately type a minimum of 40 wpm
  • Excellent organizational skills with demonstrated ability to plan, organize and execute multiple tasks by assessing and prioritizing work projects
  • Ability to respond appropriately to requests and inquiries
  • Ability to make sound decisions and effectively handle stressful situations in a professional manner
  • Ability to understand and follow verbal and written instructions
  • Ability to abide by all rules, regulations, policies, and procedures
  • Ability to safely perform all physical requirements of the job

CERTIFICATIONS & LICENSES

  • Texas Municipal Court Level 1 Certification, or ability to obtain it within two years of employment
  • Valid Texas Class C Driver’s License with a clear driving record
  • Must be bondable

PHYSICAL REQUIREMENTS: 

  • 90% office activities
  • 10% walking within the office complex
  • Occasional lifting and carrying of up to 25lbs from floor to waist
  • Occasional pushing/pulling, kneeling and bending
  • Continuous use of eyes, hands, fingers, arms, and shoulders while working at a desk, requiring fine motor skills
